  • Begin review of Illinois projects for possible inclusion (Group, 45 minutes) [NOTE: Sarah Shreeves will be joining us to discuss copyright issues related to Illinois faculty produced material that we may be considering for digitization.]

 

MINUTES

 

  1. Betsy and Beth updated the group on OCA issues. We did a walk through of the OS 3rd floor on August 14 with Jeff Schrader and Lee Galaway. Our working deadline with Jeff for getting the space finished out is December 1. We hope to install the scanners during December, and hire/train staff; anticipate being up to production capacity by January 1, 2007. Betsy is getting scanner specs from Rick Prelinger and info on data packet size/frequency from Bernie Hurley at UC Berkeley. We've planned the space to accommodate up to 4 scanners/people; although will only be starting with two.
  2. Betsy suggested collection overlap of both Michigan/UIUC and Berkeley/UIUC and will follow up with David Vess on starting this process very soon
  3. Tim and Michael gave update on position searches; Kurt Greltch has been identified for the IH metadata position; other candidates are being interviewed this week.
  4. Tim also gave update on IH server/storage issues, and we briefly discussed different "views" for the portal depending on the provenance of the digital content.
  5. We briefly discussed the need for a collection development statement, and pulling the CDC into this process. The IDEALS collection development statement can serve as a model.
  6. Sarah Shreeves discussed mission of IDEALS to provide access to the research and scholarship of UIUC faculty, staff and students. She also discussed copyright considerations pertaining to research produced by UIUC scholars. Faculty hold copyright to their materials; the University holds copyright for publications of academic professionals or staff as this is considered "work for hire." Generally UIUC scholars publications prior to 1976 that contain no notice are OK for digitizing. We should treat post 1976 publications according to the IDEALS procedures for attempting to verify copyright ownership. We will also add "copyright considerations" to our selection criteria.
  7. We divided up the list of "Illinois Content Not Yet Digitized" (http://massdigiwiki.pbwiki.com/f/Illinois%20Digital%20projects.doc) with everyone "adopting" some projects on which to gather the following information to inform our selection decision-making:
    • Format—We will seek diverse formats (e.g., print, photographs, audio, etc.) in order to develop our digital expertise with different types of materials.
    • Quantity of material
    • Instructional tie-in
    • Condition—Although exceptions are possible, generally material chosen should be in good enough condition to digitize without first reformatting or receiving extensive stabilization treatment.
    • Visual quality—The material must be capable of rendering quality digital images and text so that it can be used appropriately.
    • The material should not already be available in digital format.
    • Copyright considerations

We will NOT have a meeting on August 30, and so will have two weeks to gather the above information for each of our projects. Lisa Kelly has taken the August 30 date off of all our calendars. Our next meeting will be Wed, September 6, 10-11am, Room 230B.
