Checksum question –
Will be doing checksum on files from OCA and IL Harvest. Checksum is preservation method, occurs after file is transferred to verify the data was all copied. Also used on servers (on a set timetable) to verify the files are the same, not missing or corrupt.
Strike RFD-DC –
Sarah wanted Tim’s opinion about an issue in the RFP for Illinois Harvest vendors – removing dataset.toc file from the RFP and sending an XML file (of bib info) to vendors. Was agreed that was not necessary as the vendors will not be adding descriptive metadata. We will supply electronic worksheet and metadata file that the vendor will place in appropriate directory at the end. Could be placed in the jpeg2000 header at the end. XML file will be in RFD-DC format.
Bib info listed in RFP –
List of bib info will be struck from RFP since vendor will not really need that.
Cataloging will supply XML file template–
Michael and Kurt will supply a template of the XML file that will contain bib info mentioned above in the “Strike RFD-DC” section.
Handle Server –
Betsy will speak with John Weible about Lib Systems managing a Handle Server, that manages the links to the files.
Sampling – Quality Assurance (QA)
1. QA - OCA
Concerns were raised about shelving books before any files were examined. OCA does have QA measures in place but it was decided to have a step added in work flow for checking a few items per shipment to verify quality.
2. QA - IL Harvest
Sample will be 10% of files returned. Some processes can be automated for QA such as verifying file names, examine numbering in files, etc. Betsy checking with John Gorman about creating scripts for automated QA with Tim and Chris agreeing to be advisors.
Items with no bib records in catalog – in separate database–
Individual Reports , (Harvest Surveys or Engineering Reports) have one main bib record in catalog but there is a separate database of individual reports. These records will have to be crosswalked to catalog records – each of the hundreds of reports will have individual bib records. Kurt also thought that individual records are in WorldCat.
Sarah pointed out that this means there could be many records in different places, like Lib catalog, IDEALS, etc.
Oak Street Scanning Center¬–
Work not complete. Was to be done by Nov 1. Hoping for completion by Feb 15. There is an option of setting up scanning equipment in Conservation area and moving it after work on space is complete but that will be costly. Staff from OCA have to move, setup and calibrate equipment twice. Betsy may ask for more money to do this if the space will not be ready soon

Metasearch is not done yet
Will send out URL of draft of site soon
Response to bid request–
Betsy did not hear back from Kirtas but did receive good response from TechBooks, very through, could serve as a model of what we want in terms of responses from vendors.
