Mass Digitization Group Meeting

Wednesday, September 27, 2006

10:00-11:00am

Room 230B

AGENDA

Need to clarify some points about the budget

Projects at the point of needing decisions/approval:

  • Olive quotation for Ilios
  • Unica proposal
  • UI Built Environment

Review of specifications that Nuala is drafting for us to use as basis for getting quotations from vendors.

Assignment of vendors/responsibilities for obtaining quotations

MINUTES

  1. We need to clarify how much of the $125K allocated in budget for IH staffing is actually needed. The two IH positions will only account for about $70K of this amount. Beth had included approximately $25K for graphics and web design costs. Betsy will get in touch with Tim about this; we should be able to find a talented grad student through Office of Web Services or Michael Twidale. Should get started on logo process now so that we have this for the fall rollout.
  2. Discussion of need to balance working with vendors who deliver text and markup vs. vendors who are gear towards preservation of physical object. Our mass digi project is access focused and we don't have resources to do extensive post-processing if we can get that from a vendor.
  3. Still need to decide on file naming conventions, metadata requirements, how we want data back from vendors.
  4. Need further discussion of delivery systems, including pageturner software, and long term management plan for digital objects and metadata. Briefly discussed Fedora in context of this last concern.
  5. Consensus that we have to let those TF members in attendance at a particular meeting where decisions about collections to be scanned are to be made, make those decisions so that we can continue moving forward at the pace we need to.
  6. Two scanning projects were approved: 1) Ilios (Olive); and 2) UIUC Built Environment (in house scanning of 300 drawings). Decision on Unica project waiting for further discussions with Valerie.
